Prepare a quotation
- Enter your business, customer, quotation number and date. Add an optional offer expiry date and purchase order reference.
- Describe the offered items, quantities, prices, discounts and tax rates. Choose whether unit prices include tax.
- State scope, delivery assumptions and acceptance terms in Offer terms. Preview and review before downloading.
A quotation presents an offer estimate. It records neither an invoice balance nor a payment. The example is fictional; replace its details and confirm rates, availability and terms yourself. Saving this quotation uses a separate draft from invoices. Use Editable file backup to download a JSON copy for another device, or restore one with a single Undo step. Rejected or cancelled restores preserve your current work.
Expiry and offer terms
An expiry date must be on or after the quotation date. It is printed as offer validity, not a payment due date. Leaving it blank does not automatically make an offer open indefinitely. Terms can describe delivery, exclusions, scope changes or how a customer may accept. This tool does not monitor expiry, collect signatures, record acceptance or send an offer. Whether an offer creates obligations depends on its wording and applicable rules. Australian government quotation guidance illustrates why complete scope, prices, terms and expiry matter; local requirements may differ.
Exact estimated totals
Quantity supports three decimals. Each quantity × price rounds half up to the selected currency minor unit, then the percentage discount rounds and is deducted. Exclusive tax is rounded discounted amount × rate ÷ 100; inclusive tax is rounded discounted amount × rate ÷ (100 + rate), extracted from the entered amount. Totals sum rounded lines. These application rules may differ from required accounting rules.
The example totals INR 3,155.00: 2.5 × INR 1,000 less 10% gives INR 2,250, with INR 405 illustrative tax; another untaxed INR 500 line completes the estimate. Rates are your entries. Currency selection does not convert values. All listed monetary currency and fund codes are available; decimal precision follows ISO minor units (zero to four decimals), based on SIX currency precision data reviewed 10 October 2026.
Limits and local privacy
Use 1–30 items; single-line descriptions up to 200 characters wrap in the output. Quantities are positive up to one million; prices at most one billion currency units; discount and tax 0–100% with two decimals; entered line amounts and total at most one trillion. PDF has a 20-page limit. Dates use the Gregorian calendar. No automatic numbering ledger, exchange rates, logos, signatures, payment tracking or tax-registration validation.
Details and PDF processing stay in this browser and a local worker. Drafts save only when requested and are unencrypted in this browser profile. Clear removes the form and saved quotation draft; it leaves other document drafts and downloaded files under your control. Browser autofill/restoration can retain entries independently. Avoid storing sensitive details on shared devices.
PDF fonts support Western European text. Unsupported characters produce a clear error; TXT/CSV retain original Unicode and native print supports fonts available to your browser. CSV quotes cells and prefixes formula-leading text with an apostrophe. Generated PDF has a paginated table, while native print uses the preview layout. This general template does not guarantee legal, GST/VAT or other jurisdictional compliance.
When should I use an invoice or receipt?
A quotation describes a proposed offer. An invoice requests payment for billed work; a receipt records a received payment. Choose the document that matches the actual transaction.
Does the total stay valid after the expiry date?
The tool does not enforce expiry. Confirm scope, availability, prices and terms with the relevant parties before proceeding.
